Role purpose


The Receptionist & Administration Volunteer provides quality reception and administration support to the office.  This includes being the first point of contact for visitors and clients both face-to-face and via the phone and/or email, providing a safe and calm environment in the reception area.  Dealing with personal information, your discretion and integrity will be of upmost importance.  You will also assist with general office procedures.

Role responsibilities

  • Welcome all visitors
  • Answer phone and directing incoming calls and/or, taking and forwarding messages as required
  • Respond to internal and external enquiries via email in a timely manner
  • Perform various administrative tasks as required such as data entry, assisting with ordering office supplies, printing and posting correspondence, sorting and distributing mail, other routine administrative duties.
  • Provide support to clients for basic tasks including form-filling and providing details of other relevant support services
  • Escalate any client issues to appropriate staff member
  • Undertake additional work and training as required
  • Maintain privacy and confidentiality
  • Maintain a safe work environment and follow reporting protocols
  • Notify Red Cross in advance if unable to attend on the agreed working day
  • Being able to commit to at least 3 months

Knowledge, skills and experience

  • Previous reception experience is highly regarded, but not essential
  • Excellent records management, organisational and general office administration skills 
  • Excellent communication and interpersonal skills and a willingness to engage in a positive manner with people from diverse cultures and background  
  • Comfortable speaking on the phone with a broad range of culturally and linguistically diverse (CALD) clients.
  • Working proficiency in MS Office or similar software and experience using databases
  • Ability to manage and motivate self while working in a collaborative team environment
  • Understanding of the experience of vulnerable people
  • A can-do attitude, flexible and mature approach to work tasks, and a willingness to learn.

Application requirements

  • For this role you will be required to undertake a National Police Check, prior to commencement and renewed every 5 years, which will be organised through Red Cross. 
  • You will need to provide a recent copy of your CV and provide details for two professional references.
  • The role will also require you to hold or apply for a Working with Children Check.  Red Cross can assist you to apply for this check.

Learning and development

  • Complete Red Cross online learning modules as required
  • Attend Red Cross Volunteer Induction, Programme Training, and ongoing training as required
  • Attend scheduled volunteer meetings as required
