IT Coordinator
We are seeking an IT Coordinator to provide essential support to our IT Director and technology leadership team. This dynamic hybrid role combines administrative responsibilities, finance and purchasing coordination, communication facilitation, and project management support. The ideal candidate will be organized, proactive, and tech-savvy, with strong communication skills and the ability to manage multiple tasks effectively.

Key Responsibilities:
1. Administrative Support
o Manage Calendars & Scheduling: Arrange and coordinate meetings for the IT Director, including appointments with vendors and cross-departmental stakeholders.
o Email & Correspondence: Assist in managing email communications, responding on behalf of technology leadership, and handling external vendor inquiries.
o Travel Coordination: Organize travel arrangements and schedules for technology staff.
o Document Preparation: Create reports, presentations, meeting agendas, and minutes for technology-related meetings.
2. Finance and Purchasing Support
o Vendor Management: Coordinate with external vendors for quotes, service contracts, and maintenance schedules related to technology infrastructure and hardware.
o Purchasing & Inventory Tracking: Assist with obtaining quotes, creating purchase orders, tracking equipment orders, and maintaining inventory and shipping records.
o Budget Tracking: Monitor the technology department’s budget, manage invoices and purchase orders, and assist with annual budget preparation.
o Expense Reconciliation: Work with the finance team to reconcile monthly expenses, ensuring all technology-related purchases, subscriptions, and services are properly documented and accounted for.
3. Communication and Coordination
o Liaison Between Departments: Serve as the point of contact between the technology department and other teams (e.g., Teaching & Learning, Operations, Finance), fostering clear communication and collaboration.
o Support Desk Coordination: Assist in triaging support requests, assigning tickets to technicians, and ensuring timely follow-ups. Provide regular reports as required. Update and standardize technology-related guides and canned responses for the support desk system.
o Internal Communication: Draft internal memos, updates, and reminders about system upgrades, outages, or new technology implementations.
4. Technology Integrations and Project Support
o Project Management Support: Track technology projects, timelines, and milestones. Maintain project plans and ensure timely completion of tasks.
o System Rollout Assistance: Assist with the deployment of organization-wide technology rollouts, such as laptop ordering, firewall upgrades, and battery backup installations.
o User Device Governance: Monitor campus-level device assignments and run reports to identify misalignments or shortages.
o Lenovo Repair Coordination: Act as the liaison between staff and Lenovo repair services, managing warranty repairs, tracking repair requests, and ensuring timely updates to staff.
o Surveys and Feedback: Conduct surveys to gather feedback from staff, teachers, and students on the performance of technology tools and services.

Qualifications:
o Proven experience in administrative support, preferably in a technology-related environment.
o Strong organizational and multitasking skills with attention to detail.
o Experience with project coordination or management is a plus.
o Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with project management tools (e.g., Smartsheet, Asana).
o Excellent written and verbal communication skills.
o Ability to work independently and manage time effectively.
o Experience with budgeting, purchasing, and vendor coordination is preferred.
